Privacy Policy
Last updated: 27 September 2026
This Privacy Policy explains what information Accounteezy collects, why we collect it, how long we keep it and the rights you have. It covers our website old.zaibzen.com, our free tools (the Bank Statement Converter and the Bookkeeping Tool) and our accounting services.
In short
- Your bank statement is never uploaded to our website. The Bank Statement Converter reads it inside your own web browser, on your own device.
- We never store your statements, transactions or account numbers.
- No artificial intelligence (AI) is used. Your files are never sent to an AI service, and never used to train AI.
- We never sell your data.
1. Who we are
Accounteezy is responsible (the “data controller”) for the personal information described in this policy. You can contact us at help@old.zaibzen.com.
2. How our Bank Statement Converter handles your statement
The converter works entirely inside your web browser:
- You choose a PDF statement. It is opened by your browser on your device. It is not uploaded.
- The converter reads it on your device. It finds the transactions and checks every running balance so mistakes are caught.
- Your Excel or CSV file is created on your device and saved straight to your downloads.
At no point are the statement, its contents or its file name sent to our website or to anyone else. To open PDFs, your browser downloads a free, widely used PDF reader (PDF.js) from the jsDelivr network. Like any website, jsDelivr can see your IP address when it sends that software, but it never sees your statement.
What we do record. To see how the converter is used and to fix statements that do not convert, we keep a short usage record for each conversion: the date and time, whether it worked (and if not, the general reason, such as “scanned PDF”), the bank name as detected, the number of pages and transactions, whether the balances added up, the time taken, whether an Excel or CSV file was downloaded, the type of device (mobile, tablet or computer), and a random code created by your browser so we can count visitors. If you are signed in to an account, we note which account used it.
We never record the statement itself, its transactions, balances, account numbers, the names on it, its file name or your IP address. Usage records are deleted automatically after 400 days.
Free daily allowance. To count free conversions, we use a small cookie and a one-way scrambled code made from your IP address. The code cannot be turned back into your IP address, and daily counts are deleted after two days.
3. How our Bookkeeping Tool handles your figures
- What you enter stays on your device. Your worksheet is saved in your browser on your computer or phone, not on our website. Clearing your browser data removes it.
- Importing a CSV or Excel file. The file is sent over an encrypted connection to our website only so its rows can be read and shown back to you. It is deleted as soon as it has been read. It is never saved, and never sent to an AI service or anyone else.
- Private links (optional). If you click “Get a private link”, a copy of your worksheet is saved on our server so you can open it on another device or send it to your accountant. Anyone with the link can open it, so share it only with people you trust. It is deleted automatically 90 days after your last change, or sooner if you ask us.
4. Other information we collect
- When you contact us or request a quote: your name, email address, phone number, business name and your message.
- When you become an accounting client: the information we need to do the work, such as business and financial records, HMRC references and, where the law requires it, proof of identity.
- When you create an account or buy a plan: your name, email address, billing address and plan history. Card payments are handled by Stripe. We never see or store your full card number.
- When you browse our website: pages visited, device and browser type, and approximate location (town or country), through Burst Statistics and, if you accept analytics cookies, Google Analytics. Our security software also records the IP addresses of failed logins and suspicious requests so that attacks can be blocked.
5. Why we use your information
- To provide our services and tools, and to manage your account and plan (to perform our contract with you).
- To reply to your enquiries and prepare quotes (at your request, before a contract).
- To keep accounting and tax records the law requires us to keep (legal obligation).
- To understand how our website and tools are used, fix problems and keep the website secure (our legitimate interests).
- To send news or offers, only if you have agreed. You can unsubscribe at any time.
6. Who we share information with
We do not sell, rent or trade your personal information. We only share it with companies that help us run our business, and only what they need:
- Hostinger: hosts our website and email.
- Stripe: processes card payments.
- Google: website statistics (Google Analytics), spam protection on our forms (reCAPTCHA) and our Google Business Profile.
- Trustindex: displays our Google reviews on this website.
- jsDelivr: delivers the PDF reading software used by the converter (it sees your IP address, never your statement).
- WhatsApp (Meta): only if you choose to message us there.
- HMRC, other authorities and professional advisers, when the law requires it or to act on your behalf as your accountant.
Some of these companies, such as Google, Stripe and Meta, may process information outside the UK. When they do, they use the safeguards approved under UK data protection law, such as UK adequacy regulations or the UK International Data Transfer Addendum.
7. Cookies and browser storage
When you first visit, we ask whether you accept analytics cookies. Nothing optional is set until you choose. Your choice is remembered for six months, and you can change it at any time using Cookie settings (also at the bottom of every page).
- Essential (always on): keep you signed in, run the basket and checkout, protect the website, remember your cookie choice (accz_consent), and count free converter conversions.
- Analytics (only if you accept): Google Analytics cookies (_ga and _ga_*) help us understand which pages are useful, and WooCommerce’s order-source cookies (sbjs_*) note how you found us if you later buy a plan. If you choose “Essential only”, none of these cookies are set; Google may still receive a basic, cookie-free signal that a page was viewed, which cannot identify you.
- Cookie-free statistics: Burst Statistics counts visits on our own server without cookies.
- Spam protection: Google reCAPTCHA on our contact and quote forms.
- Browser storage: the Bookkeeping Tool saves your worksheet in your browser, and the converter keeps a random code there so visitors can be counted.
You can also block or delete cookies and browser storage in your browser settings. Some features, such as signing in or saving your worksheet, may then stop working.
8. How long we keep information
- Bank statements used in the converter: never kept. They never reach us.
- Files imported into the Bookkeeping Tool: deleted as soon as they have been read.
- Bookkeeping private links: 90 days after your last change.
- Converter usage records: 400 days.
- Free allowance counts: two days. The allowance cookie expires after 70 days.
- Enquiries: as long as needed to reply and follow up, and no more than two years if you do not become a client.
- Client, account and payment records: while we work with you, then six years, as UK law requires for accounting and tax records.
9. Keeping your information safe
Our website uses an encrypted (HTTPS) connection. Access to client information is limited to the people who need it, the website is monitored by security software, and it is backed up regularly. Because the converter reads statements on your own device, your statements are never held on our systems at all.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong;
- ask us to delete your information, where we do not have to keep it by law;
- ask us to limit how we use it, or object to how we use it;
- ask for your information in a format you can take elsewhere;
- withdraw your consent at any time, where we rely on it.
Email help@old.zaibzen.com and we will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Children
Our website, tools and services are meant for adults and businesses. We do not knowingly collect information from anyone under 18.
12. Links to other websites
Our website links to other sites, such as GOV.UK and our social media pages. We are not responsible for how those sites handle your information, so please read their privacy policies.
13. Changes to this policy
If we change this policy, we will update it on this page and change the “Last updated” date at the top.
