To download bank statements in the UK, open your bank’s app or Online Banking, go to the account, and look for Statements (some banks call it Statement options, Documents or Inbox). Pick the month or date range and save the PDF. If you need the transactions in a spreadsheet, most banks also let you export a CSV or Excel file from the transaction list, which is a separate option from the statement itself. This guide gives the exact steps for 16 UK banks, how far back each one goes, and what to do when your bank only gives you a PDF.
Last checked against each bank’s own help pages: 2 October 2026. Banks change their apps often, so if a button has moved, the bank’s help page linked in each section will have the latest route.

PDF statement or CSV export: which one do you need?
Most banks give you two different things, and people often download the wrong one.
- A PDF statement is the official record. It has your name, address, sort code, account number, the statement period, opening and closing balances and every transaction. Use it for mortgage and rental applications, visas, proof of address, and your own records.
- A transaction export (CSV, Excel, QIF, OFX) is raw data. It has dates, descriptions and amounts in columns, but usually no letterhead and sometimes no running balance. Use it for spreadsheets, bookkeeping and importing into software such as Xero, QuickBooks, FreeAgent or Sage.
The file formats you’ll see:
| Format | What it is | Best for |
|---|---|---|
| A fixed document, like a printed statement | Proof, applications, record keeping | |
| CSV | Plain text, one transaction per row, values separated by commas | Excel, Google Sheets, most accounting software |
| XLSX / Excel | A spreadsheet file | Opening straight in Excel |
| QIF / OFX | Older money-software formats (Quicken, Microsoft Money) | Some accounting and budgeting apps |
| MT940 / CAMT.053 | Bank-to-software formats used by accountants | Accounting systems that ask for them |
If you are a sole trader keeping your own books, you usually want both: the PDF to keep as evidence, and a CSV or Excel file to work with. Our guide to sole trader bookkeeping explains how the two fit together.

- Sign in and select the account, then the three-dot menu.
- Select Download or print statement.
- Choose the statements you want and follow the prompts.
In Online Banking, select Statement options on the account page. You can go back 7 years online and at least 10 years in the app. Credit card statements follow the Lloyds rule above: app or online chat.
Worth knowing: the Halifax brand is changing to Lloyds. Halifax says customers who don’t yet bank online can set up the Lloyds app with their Halifax details and see their Halifax accounts there.

Barclays
In the app: tap Help/More on the home screen, then Statements, then select the statement to view, download or print. With a Barclays business account, Statements is on the home screen.
In Online Banking: select Manage accounts, then Statements and documents. You can also go to your profile and open My Barclays documents.
How far back: 7 years, or 5 years after you close the account.
Spreadsheet export: Barclays’ help pages only cover PDF statements. If you need your Barclays transactions in Excel, the quickest reliable route is to download the PDF and convert it.

Monzo
- Tap Home in the app.
- Tap the three dots under your card.
- Tap Bank statements.
- Choose the date range.
- Choose the format: PDF, CSV or QIF.
Statements include your Pots. Monzo says its statements are original documents, so you shouldn’t need them stamped or signed for a mortgage or visa. If you do need a posted or stamped copy, you can ask in the app. When an account is closed, Monzo emails a password-protected statement of the full history.
Tip: Monzo PDF statements list the newest transaction first. That matters if you paste them into a spreadsheet, because the running balance reads upwards.

Starling Bank
Starling changed how statements work in August 2026. Every monthly statement now carries a True Copy stamp so it can be verified.
Monthly statements (PDF):
- Open the account menu at the top right.
- Tap Statements and documents, then Statement history.
- Select the month or months you want, then Download statement.
- Choose PDF or Large print PDF. Several months download together as a ZIP file.
CSV or custom dates: on the Statement history screen, tap Go to feed exports. Choose current month to date, last 3 full months, or a custom range within the last 12 months, then pick CSV. These exports are transaction summaries, not verifiable statements.
Each month’s statement appears between the 4th and the 10th of the following month.

Revolut
In the app, open the currency account, go to Statements, select the timeframe, choose PDF or Excel and tap Generate. Each currency account has its own statement, so a GBP and a EUR balance need two downloads.
Revolut Business offers more formats, including CSV, and can add a signed and stamped PDF.

Chase UK
- Tap the profile icon at the top left of the home screen.
- Tap Statements.
- Tap Monthly statements, or create a custom statement covering up to 90 days.
Statements export as PDF or CSV. New statements arrive on the 2nd of each month (the 3rd for credit cards). If you leave Chase, you can still log in to the app to get statements for up to 6 years.

Tide

CSV export in the app: tap Pay > View more, filter the transactions, tap the Share icon, pick a CSV type and tap Export.
CSV export on the web: go to Accounts, click the funnel icon, apply your filter, then Export. Choose Standard (Cleared transactions only) if you want the running balance after each transaction.

Mettle
Mettle, the business account from NatWest, lets you export your transactions from the app as CSV, Excel or OFX. That makes it one of the easier accounts to bring into a spreadsheet or accounting software.

Wise
- Click your initials in the top corner.
- Select Statements and reports, then Statements.
- Choose Create a statement, then the currencies, period, format and language.

Formats: on the website, PDF, XLSX, CSV, MT940, QIF or CAMT.053. In the app, PDF, CSV or XLSX.
Limit: each statement covers up to 365 days, so a longer period needs several statements. For accounting, tick the box to show fees separately. Tick Stamp and sign this document if you need an official signature.

Bank only gives you a PDF? Convert it to Excel or CSV
Several big banks, including Barclays, Nationwide and TSB, don’t document a spreadsheet export. Others only export the last 12 months. That leaves a lot of people with a stack of PDFs and a spreadsheet to fill.
Copying and pasting from a PDF rarely works. Columns run together, amounts lose their minus signs, and multi-page statements repeat headers mid-table. You won’t notice a missing row until the totals don’t match.
Our free bank statement converter was built for this:
- Upload the PDF you downloaded from online banking. No sign-up needed.
- Every running balance is checked before you see the results. If a row is missing or misread, it tells you which one.
- Download Excel or CSV, with money out as negative numbers so the column adds up.
- It works with all the banks above, including statements printed newest-first (Monzo) and overdrawn accounts marked “OD” or “DR”.
It needs a PDF downloaded from online banking, not a scan or a photo of a paper statement, because it reads the text inside the file.

How far back can you download bank statements?
It depends on the bank and on whether you use the app or Online Banking:
- Lloyds and Halifax: 7 years online, 10+ years in the app
- Barclays, NatWest, Santander: 7 years
- HSBC: 6 years
- Nationwide: 36 months
- Starling CSV exports: the last 12 months
- Wise: any period, but 365 days per statement
If you need something older, ask the bank for a paper copy through chat, by phone or in branch. Most say it takes 5 to 10 working days. Banks keep records well beyond what their apps show, so it’s worth asking even for old accounts.
Closed accounts: Barclays keeps statements online for 5 years after closure, Chase for 6 years, and Nationwide shows 3 years. Monzo emails a full statement when it closes an account. For other banks, contact them with the old sort code and account number.
Is a downloaded PDF statement an official document?
Usually, yes. Most UK banks now treat the PDF from their app or Online Banking as an original statement:
- Monzo says its statements are original documents and shouldn’t need stamping for a mortgage or visa.
- HSBC doesn’t stamp paper statements because it says the digital version is just as valid.
- NatWest says its downloaded PDF could be used as proof of identity, address or income.
- Starling adds a “True Copy” stamp to every monthly statement.
- Wise and Revolut Business can add a signature or stamp when you download.
The person asking for the statement has the final say. Some lenders, landlords and embassies have their own rules, so check what they accept before you send anything. Send the PDF exactly as the bank produced it. Never edit a statement, even to hide a transaction, because an altered statement can be treated as fraud. If you receive statements from tenants or clients, see how to spot a fake bank statement.
How long should you keep bank statements?
If you’re self-employed, HMRC says you must keep your business records, including bank statements, for at least 5 years after the 31 January Self Assessment deadline for that tax year. A 2025 to 2026 return filed by 31 January 2027 means keeping the records until at least the end of January 2032.
Because some banks only show 36 months online, don’t rely on the bank to keep them for you. Download each statement as it arrives and store it somewhere backed up. See GOV.UK’s guide to business records if you’re self-employed.
From April 2026, sole traders and landlords with qualifying income over £50,000 must keep digital records under Making Tax Digital for Income Tax. The threshold falls to £30,000 in April 2027. Our guide to Making Tax Digital for the self-employed explains what that means for your records.
A simple monthly routine for sole traders
A few minutes each month saves hours in January:
- Download the PDF statement as soon as it’s issued and save it in a folder for that tax year.
- Name it the same way every time, for example
2026-09 Monzo Business.pdf, so you can find it in seconds. - Get the transactions into a spreadsheet: use your bank’s CSV export, or the converter if your bank only gives a PDF.
- Check the closing balance in your spreadsheet matches the statement before you do anything else.
- Categorise income and expenses. Our free Bookkeeping Tool takes the CSV and turns it into a Profit & Loss report. Prefer a spreadsheet? Use our free sole trader profit and loss template.
Do this monthly and your Self Assessment tax return becomes a matter of adding up 12 tidy months. It also makes it far easier to spot allowable expenses you might otherwise miss.
Frequently asked questions
Can I download a bank statement from my phone?
Yes. Every bank in this guide lets you download statements in its app, usually as a PDF. Look for Statements in the account menu, or Inbox (TSB) or Mailbox (Santander). Once it’s saved, you can email it, print it or upload it from your phone.
Why can’t I download my bank statement as a CSV?
Many banks only produce statements as PDFs and keep the CSV option on the transaction list, often in Online Banking rather than the app. Some, including Barclays, Nationwide and TSB, don’t document a spreadsheet export at all. In that case, download the PDF and convert it with a bank statement converter.
How do I get a bank statement for a closed account?
Some banks keep statements available after closure: Barclays for 5 years, Chase for 6 and Nationwide for 3. Monzo emails a full statement when the account closes. Otherwise, contact the bank with your old account details and ask for copies to be posted.
How do I get a bank statement if I can’t log in?
Call the bank, use its web chat or visit a branch and ask for a paper statement. You’ll need to pass security checks. Most banks post statements within 5 to 10 working days.
Do I need a stamped bank statement for a mortgage or visa?
Usually not. Monzo, HSBC and NatWest all say their downloaded statements are valid as they are. But the lender, landlord or embassy sets the rules, so check with them first. If they insist on a stamp, most banks will provide one on request.
Can I open a bank statement in Excel?
A CSV or Excel export opens directly in Excel. A PDF statement doesn’t convert cleanly by copy and paste, so use a converter that checks the balances, then open the Excel file it produces.
Is it safe to email a bank statement?
A statement shows your name, address, sort code, account number and spending, so treat it carefully. Send it only to people who need it, use the organisation’s secure upload portal if it has one, and never send statements in reply to an email or text you weren’t expecting.
